Privacy policy

Effective 1 October 2026. This policy covers the Newclearus website and enquiries received through it. Contact Newclearus at our contact page for privacy matters.

Data collected and why

• Website delivery: hosting and network providers receive IP addresses, requested URLs, request times and browser/request metadata to deliver the site, secure it and diagnose errors. These technical requests happen even when optional features are declined.
• Enquiries: name, work email, service interest, optional message and the ICT, EOR or combined-package estimate attached to your enquiry. We use information you send to respond, scope services and prepare proposals.
• Job applications: information you choose to email, including CVs and contact details, is used to assess and respond to your application.
• Optional connection display: only with permission, your browser contacts api.country.is. That provider receives your IP address and returns an IP address and approximate country, displayed in your browser. Newclearus does not save these returned values in the website application. Location may be inaccurate, particularly with a VPN.
• Connection latency: three same-site requests measure approximate HTTP round-trip time. This is not an ICMP ping and is not saved by the website application.

Office map preview

The office map is a static image hosted with this website, using OpenStreetMap map data. It appears without loading a third-party map service. Clicking the map or address link opens Google Maps, where Google’s privacy and cookie policies apply.

Forms, calculators and sharing

The calculators run in your browser. The enquiry form prepares an email in your email application or copies text to your clipboard when requested. It does not automatically submit data to a website database. Newclearus receives your details only when you send the email. Your email provider and our Microsoft 365 email service process that message.

Calculator details become part of the enquiry email only when you choose to send it. Avoid adding sensitive employee information to role fields or messages. This website has no newsletter signup, user registration or customer account feature.

Cookies and device storage

No Google Analytics, Meta Pixel or advertising tracking scripts are installed in this version. Optional storage and country lookup remain off until accepted. Accept enables both optional features, Decline leaves both off, and Save selection applies your individual choices.

• newclearus-privacy-v1: essential localStorage record of your consent choice, version and time, valid for 180 days. No cross-site identifier.
• newclearus-scenario-v1: optional localStorage record of estimate inputs, service choices and preferences.
• newclearus-packet-best: optional localStorage record of your best game score.

Optional estimate and score records remain on this device until you withdraw storage consent or clear browser storage. Cookie settings in the footer lets you change your choices. Declining after acceptance removes these two optional records and stops future country lookups. Essential hosting or security functionality may operate independently of optional features.

Processing grounds, recipients and international transfers

Where applicable, we process enquiries to take steps you request before a contract, technical delivery and security data for legitimate interests, optional features with consent, and records needed to meet legal obligations. We do not sell personal information. Hosting/network providers, Microsoft 365 and country.is for the optional lookup process the information needed for their functions. Email and hosting infrastructure may process data outside your country. Where transfer safeguards are legally required, they must be in place before the relevant business processing begins. Client ICT, employment and payroll processing requires separate contractual privacy terms.

Retention and security

We keep correspondence only for the enquiry, recruitment or service purpose and any applicable legal retention need. Request the applicable retention period for your record by email. Hosting providers control their operational log retention. The website does not impose a verified deletion schedule on provider logs. We restrict business access to personal information and use reasonable safeguards. Do not email unnecessary identity documents, health information, bank details or passwords.

Your privacy rights

Use our contact page with the subject “Privacy request” to request access, correction, deletion, restriction or objection, or portability where applicable. Identify the information involved without sending identity documents initially. We may request proportionate verification. We respond within the applicable legal timeframe and explain any lawful reason we cannot fulfil a request. Withdrawing consent does not invalidate earlier lawful processing. You may complain to South Africa’s Information Regulator, the UK ICO or your applicable local supervisory authority.
